Whistleblowing Policy Procedure Template
The Whistleblowing Policy Procedure is a Word template that sets out how workers can raise concerns about malpractice or wrongdoing at an early stage. It covers the whistleblowing commitment, the types of concern that can be reported, who to report to, investigation and confidentiality, the protection the law gives whistleblowers and where to find further help.
It applies to all individuals and interested parties, including consultants, contractors and trainees. The file has Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields, an Amendment Record and a Business Use information classification in the footer.
What the Policy Covers
- Amendment record, summary, scope and applicability - the purpose of the policy, encouraging concerns to be raised early, the commitment of the board and disciplinary action for breaches
- Whistleblowing commitment - the right of every worker to report concerns without risk to their own position, and an adequate review or investigation of each one
- Principles and terms - reportable concerns such as criminal offences, health and safety, environmental damage, bribery and breaches of procedure, and who to report them to
- Investigation and confidentiality - concerns raised verbally or in writing, taken seriously and investigated, with the reporter's confidentiality respected and no consequences for genuine concerns
- Whistleblowing protection - the protection the law gives disclosures made in the public interest, the policy's own confirmation, and cover for consultants, contractors and trainees
- Further help - a reference to the related whistleblowing policy for anyone who needs more information
Built for Raising Concerns Early
- A route to another manager where raising a concern with the line manager is inappropriate
- Concerns accepted verbally or in writing
- Reporter confidentiality respected, with no consequences for a genuine concern
- Consultants, contractors and trainees covered as well as employees
Who Needs a Whistleblowing Policy Procedure?
Any business that wants workers, contractors and others to know how to raise concerns about wrongdoing, and the managers who receive and investigate them.
How the Policy Fits Together
Under further help, the procedure points staff to P-14 Whistleblowing Policy, which sits alongside these reporting arrangements.
Using the Policy
Edit the reporting routes to name the managers concerns should go to, and name the person in the Controlled By field. Give it top level approval and brief all workers so they know how to raise a concern.
Concerns the Procedure Covers
The procedure gives workers examples of what can be reported, including criminal offences or failure to meet legal obligations, health and safety concerns, damage or potential damage to the environment, bribery or corruption, not following company procedures or policies, and activities that could lead to significant harm or loss.
